Duties & Responsibilities

Attend to visitors in a prompt, professional and friendly manner. Ensure general tidiness of the reception area. Answer all incoming calls and handle callers inquiries whenever possible. Re-direct calls as appropriate and take adequate messages when required. Greet, assist and/or direct students, visitors and the general public. Receive, direct and relay telephone messages and fax messages. Open incoming mail and send to correct person/department. Open and date stamp all general correspondence. Maintain the general filing system and file all correspondence. Assist in the planning and preparation of meetings, conferences and conference telephone calls. Prepare all all boardrooms and all meeting rooms before any meetings commence. Maintain an adequate inventory of office supplies. Provide word processing and secretarial support. Ensure that the Reception area/lobby area is neat and presentable at all times. Booking of all boardrooms and meetings rooms for all staff members. Filing of waybills.

Skills and Competencies

1-2 Years experience in Frontline Reception Excellent interpersonal skills. Excellent telephone etiquette. Ability to display integrity and resilience. Excellent communication and interpersonal skills. Ability to communicate with all levels of Management. Attention to detail and strong organisational skills. Must be competent and professional. Ability to plan, organise and control own work effort. Ability to manage more than one situation at a time.
